Bank statements show how the business actually absorbs the MCA withdrawals. Revenue on a tax return may be strong, yet the operating account can still spend most of each week close to zero. A good review separates ordinary business activity from transfers and then reads the pattern across complete statement cycles.
The first pass is a reconciliation
| Metric | What the reviewer is trying to learn |
|---|---|
| Operating deposits | Recurring customer revenue after removing owner transfers, loan proceeds, and account shuffling |
| Average daily balance | The normal liquidity cushion, not just the ending balance on one date |
| Low and negative days | How often the account approaches or crosses zero |
| Returned items | Whether obligations are clearing and whether stress is worsening |
| MCA withdrawals | The complete payment burden and every active holder |
| Deposit concentration | Dependence on one customer, processor, location, or seasonal period |
| Transfers | Whether another account contains revenue, debt, payroll, or losses missing from the file |
One month can mislead
A seasonal peak can make deposits look stronger than the normal year. A tax payment or annual insurance bill can make one month look worse. Read at least enough complete months to see the cycle and ask for the business explanation when a month differs materially. The explanation should point to evidence, such as invoices, payroll reports, or a tax payment, rather than simply calling the month unusual.
Model the account after payoff
Remove the verified MCA withdrawals from historical cash flow, then add the proposed replacement payment and any new expenses. This is not a promise that the business would have saved every removed dollar. It is a controlled way to test whether the new structure creates a durable cushion or merely delays the same shortage.
Warnings should not silently void the evidence
Transfers between related entities, a legal-name mismatch, or an unexplained deposit should create a warning and a review task. The underlying statement remains evidence. The system should identify the account, date, amount, and source line it used, then let a reviewer confirm or correct the classification.
Prepare statements for a clean review
- Provide every page, including blank or disclosure pages required to show completeness
- Identify all operating accounts and explain material transfers
- Mark each MCA debit with the matching holder and agreement
- Explain returned items, overdrafts, and unusual deposit spikes with dates
- Separate loan proceeds, owner contributions, and transfers from customer revenue
- Reconcile statement deposits to the current profit and loss statement
Does one overdraft cause an automatic decline?
Not automatically. Frequency, recency, cause, account conduct since then, and the proposed structure all matter. The event should be explained rather than hidden.
Why is average daily balance more useful than ending balance?
An ending balance is one point in time. Average daily balance shows the cushion the business carried through the month and is harder to improve with a last-day transfer.
Can personal accounts be used to fill missing business activity?
Do not combine accounts casually. If business revenue or expenses run through a personal account, disclose it and let the reviewer determine what can be documented and whether fund separation is needed.
